Password Managers and MFA for Small Teams

Two simple tools that dramatically reduce the risk of account compromise in small organisations.

Stolen and reused passwords remain one of the most common causes of security incidents. For small teams, two tools address most of the risk.

Password Managers

A business password manager lets each person use long, unique passwords without having to remember them.

  • Shared vaults for team accounts, with access removed instantly when someone leaves
  • Strong password generation
  • Alerts for weak or reused passwords
  • An end to passwords in spreadsheets and sticky notes

Multifactor Authentication

MFA adds a second check, such as an authenticator app, security key or passkey, when signing in.

  • Enable it on email first, then on finance, admin and cloud services
  • Prefer authenticator apps or passkeys over text messages where possible
  • Train staff never to approve a sign in they did not start

Rollout Tips

  1. Start with administrators and finance.
  2. Provide a short guide and support during setup.
  3. Keep recovery procedures documented for lost phones.
